Get ready for changes coming on July 2, 2025
As part of our transformation, Canada Post is making changes to better serve you and improve your customer experience.
On July 2, 2025, we will migrate from our current SAP platform to the next generation cloud-based SAP solution.
This migration will enable four key changes for your business: improved event-based billing, optional paperless manifest, greater pricing flexibility for parcel shipments and more precise invoices.
How to prepare
We’re changing how we work together. While some of these improvements will occur automatically, there are changes that will require action on your part – this includes the changes related to invoicing and, in some cases, accessing new parcel rates.
Not all customers will be impacted the same way. It is important that you understand how these changes will affect your business and whether there could be any disruption if the required action is not completed.
This includes Commercial customers and Canada Post Solutions for Small Business™ customers. On July 2, 2025, we will introduce a new consolidated invoice, weekly invoicing for most customers and a new digital file format. These changes will help simplify your invoicing process, improve transaction visibility and make reconciliation easier. Depending on your processes, some, or all, of these changes may impact your accounting. It is imperative that you prepare to enable these changes to avoid any disruption in your accounting.
We are improving the way we bill your parcel shipments and offering a new paperless option when you provide your end of day manifest.
What's changing
Discover all the changes coming on July 2, 2025,and how they may affect your business with Canada Post:
- On July 2, 2025, our rate codes for Parcel Services will expand from 45 to 128, while maintaining the current number of weight steps.
- The new pricing grid offers more competitive rates across a wider range of shipping lanes.
- There will be no changes to any other rate structures, such as for Commercial Mail.
- We will be offering an optional paperless manifest when you provide your end of day manifest.
- Beginning July 2, 2025, you will no longer need to provide a paper copy of the manifest for your domestic parcel shipments. You will only be required to send the data to us electronically.
- This change may help streamline your shipping processes for packages destined within Canada.
- This change is optional. If you prefer, you can still provide a paper copy for any of your shipments.
- If you choose not to provide a paper manifest, you must still ensure that your manifest data is sent to us electronically prior to pickup or deposit.
- For shrink-wrapped items there will be a new process. You must make one item available to be scanned by our driver at pickup. If this is not possible, then you must provide a printed copy of the manifest.
- For items that are not shrink-wrapped, you do not need to do anything. When the barcode of one item in the manifest is scanned, it will automatically associate all the items that are included in the manifest.
- If you forget to transmit the manifest electronically, then the tracking of your items can only start once they are inducted and scanned into one of our facilities. This may incur additional fees.
- If you choose to go paperless, you do not need to inform us. You can use this option at anytime, for any, or all, of your shipments, depending on your needs and preferences.
What is not changing
- The current surcharge will continue to be applied if any item is shipped with Canada Post and is not electronically transmitted.
- There will be no change to the claims process.
- If you still want to print the manifest, you can do so and there is no change to that process.
- If you do not transmit manifest data today, there will be no change to how you ship parcels with Canada Post.
- This change only applies to domestic parcels. A paper manifest will still be required for U.S. and International parcels.
- Paper manifests are also still required for items that are part of a continuous inbound freight shipment and manually prepared manifests or bills of lading (e.g. paper order forms that are not transmitted electronically.
